This Shipping Policy explains how logistics and shipment arrangements are handled on Industrial Index (the “Site”).
Industrial Index operates as a sourcing and import coordination service, not as an online retail store. There is no standard checkout and no automatic shipping calculation.

1. Destination Coverage

Industrial Index coordinates shipments to all European Union (EU) member states.

Shipments to non-EU European destinations (e.g., EEA, UK, Switzerland, Western Balkans) may be evaluated upon request and are subject to separate confirmation.

2. Pricing and Shipping Costs

Unit prices displayed in the catalog refer to product cost only.
They do not include:

  • freight/shipping costs

  • logistics handling charges

  • insurance (if applicable)

  • customs duties

  • import VAT

  • customs brokerage fees

  • compliance/certification costs (if applicable)

Shipping and import-related costs are quoted separately based on product specifications, shipment volume, route, and Incoterms.

3. Who Arranges Shipping

Logistics may be arranged in one of the following ways, as agreed case-by-case:

A) Customer-arranged freight

The customer appoints their own freight forwarder / customs broker.
Industrial Index coordinates with the appointed parties to align documents and shipment timing.

B) Coordinated freight (recommended)

Industrial Index may propose and coordinate logistics through selected freight forwarders, while the customer remains responsible as Importer of Record (unless otherwise agreed in writing).

4. Incoterms and Delivery Responsibility

All shipments are handled under agreed Incoterms (e.g., FOB / CIF / DAP).
Incoterms determine:

  • where responsibility transfers

  • which party bears freight costs

  • who manages import clearance obligations

Final Incoterms are confirmed in writing before shipment.

5. Shipping Methods

Industrial Index coordinates the most suitable shipping method based on cargo type, urgency, and dimensions. Common methods include:

Air Freight

Best for urgent or high-value goods.
Typical transit time: 3–7 days (airport-to-airport; local handling may add time).

Express Couriers (DHL/UPS/FedEx)

Best for small packages, samples, and urgent documents.
Typical transit time: 3–5 business days.

Rail Freight (China–EU)

Best for mid-sized shipments requiring a balance between speed and cost.
Typical transit time: 18–25 days (route-dependent).

Sea Freight (most common for machinery and bulk cargo)

Best for heavy, bulky, or non-urgent shipments.
Typical transit time: 30–45+ days depending on route and port conditions.

Sea freight may be executed as:

  • FCL (Full Container Load) – dedicated container

  • LCL (Less than Container Load) – shared container

6. Cargo Types: Container vs Loose Cargo

Depending on size and nature of the goods, shipments may be organized as:

Containerized cargo

  • Standard containers (FCL/LCL)

  • Special containers (Open Top, Flat Rack)

Loose cargo (non-containerized)

  • Break Bulk (large/irregular cargo not suitable for containers)

  • Ro-Ro (roll-on/roll-off for wheeled or towable machinery)

The appropriate method is selected during the logistics planning phase.

7. Freight vs Parcel Threshold (Oversized / Heavy Goods)

Many industrial products exceed parcel courier limits. When cargo is oversized or heavy, shipment is handled as freight (palletized or cargo transport) instead of standard parcels.

As a general reference, freight shipping is typically considered when:

  • a package exceeds approximately 76 × 76 × 76 cm, and/or

  • gross weight exceeds approximately 70 kg, and/or

  • multiple packages are consolidated onto pallets

Final selection depends on carrier rules and shipment configuration.

8. Estimated Transit Times (Non-binding)

Transit times are estimates and may vary due to factors outside our control, including:

  • port congestion

  • route diversions

  • weather

  • carrier schedules

  • customs inspections

  • geopolitical events

  • local trucking availability

Industrial Index cannot guarantee specific delivery dates unless expressly agreed in writing with the freight operator.

9. Documentation and Pre-Shipment Approval

Before shipment, the following documents are typically prepared and verified:

  • Commercial Invoice

  • Packing List

  • Bill of Lading / Air Waybill (draft and final)

Shipment is authorized only after document alignment and approval within the agreed import structure.

10. Customs Clearance, Duties and VAT (EU)

Unless otherwise agreed in writing, the customer is the Importer of Record and is responsible for:

  • customs clearance arrangements through a broker/forwarder

  • payment of customs duties

  • payment of import VAT

  • any import-related fees charged by the broker or port/terminal

The customs broker may advance duties/VAT and invoice the customer accordingly.

11. Delivery Terms and Final Mile

Final delivery (trucking from port/airport/rail hub to destination) is arranged via the freight forwarder/broker or the customer’s appointed carrier, depending on the agreed setup.

Special requirements (lift-gate, crane unloading, appointment delivery, restricted access sites) must be communicated in advance.

12. Shipment Tracking and Updates

Tracking availability depends on the selected shipping method.
Industrial Index provides shipment updates to the extent made available by carriers and forwarders.

13. Damage, Loss and Insurance

Risk allocation depends on Incoterms and carrier terms.
Cargo insurance may be requested and quoted separately.

Any visible damage must be reported immediately upon delivery, with photos and written notes on the delivery receipt, as required by the carrier.
